Creating, Editing and Deleting Recurring Appointments
Once you create a new appointment in Power Diary, you can make it recurring as well. Doing so will help you schedule future appointments with your clients more quickly and easily.

You get the option to make a recurring appointment only after you create the appointment in your calendar.
How To Make A Recurring Appointment
There are two ways you can make an existing appointment recurring:
You can right-click on the appointment and click on the ‘Make Recurring’ option from the pop-up menu.
You can simply click on the appointment. Doing so will open the appointment settings panel on the right side of your screen. On the top-side corner of the panel, you’ll find the ‘Recurring Options’ icon which you can click to access the recurring appointment settings.
A window will pop-up which will look something like this:
Here’s what each option on this screen does:
- Repeats: Choose the duration after which you want your appointment to reoccur i.e. Daily, Weekly or Monthly.
- Repeat Every: Set how long the time-period between each recurrence will be. For example, if the appointment is weekly - after how many weeks should it reoccur i.e. 1 week, 2 weeks, 6 weeks etc.
- Repeat On: Specify which days an appointment can reoccur.
- Starts On: Set the starting date of the recurring appointment.
- Ends: Set whether you want the recurring appointment to end after a specific number of occurrences or at a specific date.
Once you finalized your settings, simply click on the green ‘save’ button. A new icon will appear on that appointment which will help you identify that it is a recurring appointment.

How To Edit A Recurring Appointment
The process of editing a recurring appointment is a bit different than editing a non-recurring appointment.
That’s because any edits you make to a recurring appointment can be applied in three ways:
- To the current appointment you’re clicking on.
- To the current appointment, plus all future recurrences of that appointment.
- To the past, present and future i.e. all recurrences of that appointment.
To choose which appointments your edits apply to, you’ll be shown this window every time you make an edit:
The initial steps, however, are the same.
Below is a brief explanation of three ways you can edit a recurring appointment:
Method 1. Drag and drop a recurring appointment to move it to another time and day
Simply click on the appointment you wish to reschedule and drag it onto another position on the Power Diary calendar to change its time/date. A pop-up window will appear on which you can choose whether to apply this edit to just the current appointment, to this and all future appointments or to every single past, present and future appointment.
Method 2. Drag the top or bottom of the recurring appointment to change its time period
To just change the time period of an appointment i.e. extend or reduce it, simply position your cursor on the top or bottom edge of the appointment box and click and drag. Once you’ve made the changes, a pop-up window will appear on which you can choose whether to apply this edit to just the current appointment, to this and all future appointments or to every single past, present and future appointment.
Method 3. Click on a recurring appointment to activate the Appointment Panel
If you want to change information about a recurring appointment, simply click on it. A settings panel will appear on the right side of your screen. Here, you can make edits to time, date, client name and more.
If you’re just making information related changes i.e. service details, payment methods - those changes will only apply to that specific appointment.
However, if you’re also making time-based changes, it will be applied to the instance of the appointment that you’ve clicked and you’ll get the option to choose whether you’d like to apply these edits to the upcoming or all instances of the recurring appointment as well.
How To Delete A Recurring Appointment
Deleting a recurring appointment is really easy. There are two ways you can do it:
Method 1. Click on the ‘x’ button.
On the top-right corner of the recurring appointment on the calendar, you’ll find the ‘x’ icon. Click on it to delete the recurring appointment.
Method 2. Click on the ‘delete’ button in the Appointment Panel
Click on the appointment to open the settings panel on the right side of your screen. Scroll down and click on the delete button at the very bottom of the panel.
Just like when editing a recurring appointment, you’ll be presented with the three options of what you’d like to delete.
You can either:
- Delete the current appointment you’ve clicked on.
- Delete the current - and future instances of this recurring appointment.
- Delete the past, current and present i.e. all instances of the recurring appointment.
