This article covers:

What we can Import from PPMP:

based on previous PPMP imports conducted by our Team, we can import:

  • Clients
  • Contacts
  • Third parties
  • Referrers
  • Notes - when provided in a decrypted and importable format)
  • Client files/documents -  see requirements in our "Importing your Data FAQ" helpdesk article here
  • Invoices & Payments - in our experience, PPMP financial data is very complex, and our team will need to analyse this data to establish if viable for import, should you want to migrate this data.   For a more detailed explanation of why we may not be able to import your financial data, as well as a suggestion as to how to move forward, please see our Importing FAQ guide

*If there's any other data important to you that's not on the list, let us know. We'll assess its viability for import.

What can't be be imported from PPMP:

  • Appointments: Appointments cannot be imported from PPMP data.  The appointments are presented in the PPMP data in blocks and the settings are within the software itself, not in the data presented. There are no end times for the appointments as this is calculated by the front-end software.  The appointment data does not link to clients, nor to practitioners.
  • Referrals:  Referral data is stored  as a Note against each relevant client profile, and as such, is free text, rather than a data field that we can import.  As such, as a rule of thumb, this information is imported as a Note against the client profile, to provide you with the data for continuity purposes.

Exporting your data from PPMP

Depending on how you host your PPMP, the export process differs:

On-Premises Export

  1. Access the PPMP folder on your computer.
  2. Locate the database file ending with ".mdb".
  3. Right-click and compress the file (steps vary by operating system).
  4. This compressed file is what you'll share with us.

Please refer to this guide (compliments PPMP) for further information and contact PPMP support directly should you require support in extracting your data.

*Treatment notes from version 9.8.0 onward are encrypted. If you want them transferred, contact PPMP for decryption (charges may apply). To find the version of PPMP that you're using, you should be able to see it displayed when you first open the application

Hosted by PPMP

If your current software is hosted by PPMP, you will need to contact PPMP Support directly to request a zip file of your database backup (patients, appointments, services, etc.), and a separate zip file containing all your decrypted clinical notes.  Don't forget to mention that you also need your files/attachments if you store those in PPMP.
